The post holder will be responsible for the coordination and administration support to Technical Training (TT) department's outputs through the use of the department's course administration and learning management systems. The post holder will be required to proactively plan and manage course provision according to the global waiting list, instructor and training asset availability, and also act as the central point of contact for assistance and troubleshooting to the business area and business unit training administrators for the CAST system as well as acting as a Junior Administrator for the Elekta Global Learning Management System. In addition, the post holder will provide administration support to the Technical Training team through the timely provision of training and office resources, the filing of training packs and records, evaluation of course delivery through post course discussions, administration of purchase orders and invoices using internal systems, and championing the Business Management Quality System by assisting with the provision of department quality meetings. Qualifications Education Minimum of 5 GCSE grades A-to-C (including Maths and English) or equivalent with evidence of achievement in a Further Education/Higher Education environment or equivalent work place experience ECDL qualified or proficient in MS Office applications Relevant Experience Experience within a dynamic customer facing business environment with direct responsibility for the coordination and administration of deliverables and outputs ideally training and education related Experience with training and learning management systems Experience working in a global matrix organisation Skills Excellent organisational, planning and communication skills Ability to train users of business systems including learning management systems Effective time and resource management skills Facilitation skills: Ability to chair or lead and record meetings Proven troubleshooter able to act as central point of contact for assistance Competencies Customer relationship management Proficient using MS Office applications including Outlook, Excel, Word, PowerPoint and MS Project Confident in the use of databases and similar IT products Team player able to operate individually and as a team member Competent to work unsupervised Responsibilities Actively manage the CAST course administration system and the Absorb Learning Management System acting as the central point of contact for the Business Area and Business Unit training administrators Act as the central point of contact for customer support functions including liaison with external contract providers Act as the central point of contact to assist the Elekta global training functions including the teams in the USA, Germany and China Actively manage the training course waiting list and react to customer demand Act as the central point of coordination for course bookings and administration Create, control and maintain training records, including course certificates Control and manage stationery and resource provision for the TT team and training course deliverables Assist with the maintenance of the Departmental Quality System and associated records Prepare purchase requisitions and small value orders for authorisation by the Head of Technical Training Provide information, sales and marketing support for training course enquiries Coordinate course evaluation and feedback ensuring that it is reviewed, corrective actions implemented and key performance indicators analysed Devise, support and carry through continuous improvement initiatives designed to improve the department's outputs
