A day in the life of Wes Game

Wes Game is the Exhibition Organiser for the Let’s Do Business Group, a leading provider of business advice, training, access to finance and business events in the South East.

Wes works four days a week and his typical hours are 8:30am – 5pm. However, his role does involve him attending regular networking events to promote the exhibitions. This means that he sometimes has early starts from 6:30am for breakfast meetings or late evenings for Curry Clubs.

The Let’s Do Business Group run 3 expos a year, Brighton, Eastbourne and Hastings. Wes gets very busy in the run up to these exhibitions, but when it is a bit quieter in-between he also runs start-up business workshops for the group and for other organisations.

General task that Wes undertakes for exhibitions include:

  • Liaising with and booking the venues
  • Measuring for stands and producing a floor plan
  • Budgeting and working out pricing for the stands
  • Booking the shell scheme
  • Stand sales and managing bookings
  • Organising guest speakers and seminars
  • Updating the website and producing newsletters
  • Liaising with local authorities, radio stations, newspapers etc. regarding signs and advertising in the local area
  • Putting up roadside banners
  • Producing the show guide and visitor bags
  • Organising a hire van to take equipment to the venue
  • Booking a photographer
  • Dealing with exhibitors needs
  • Sponsorship packages
  • Gathering and reviewing feedback after the event

Exhibition time!

All the exhibitions take place on a Thursday, and the Tuesday/Wednesday before are spent setting up. Wes will start on the Monday afternoon, when he will collect the hire van and visit the office where it is all hands on deck to pick up all the equipment needed for the day. Wes will drive the van to the venue early on the Tuesday morning, and unload with the help of a couple of members of staff. The shell scheme company will already be on site, building to the floor plan specification. Next job is filling the 500 visitor bags with the flyers provided by exhibitors. We have had plenty of years practice, and perfected our technique, but this takes a good few hours! When full, they then need to be stacked out of the way.  After this, it is on to the tables and chairs for the stands, working to a spreadsheet of exhibitors needs, these are set up on the stands as required.

Wednesday morning starts with making sure all the stands have the correct tables and chairs as ordered, and exhibitor packs, staff badges and a show guide and bag, are then distributed to each stand. Exhibitors can attend between 2pm-7pm to set up their stand ready for the show the next day. Wes is on hand to answer any questions, make sure everything is as expected and keep a check on the unloading of vehicles around the venue. He also puts up posters and signage around the venue, with what’s on and direction to talks etc. 

The venue is open for exhibitors from 8am on the Thursday. The reception area is set up and all pre-registered badges are laid out, Wes and the team are on hand to help exhibitors and making sure everything is ready for doors to open at 10am. Wes’ day involves making sure everything is running smoothly and there are no issues, announcing speakers/seminars, making sure they run to schedule and networking. At 4pm he closes the expo and announces the winners of any prize draws as required. Then it is time to tidy up!
