Maintenance Administrator
Crawley
£10.66 per hour
Temporary - Start ASAP - September 2018

Experienced Administrator required for a busy local authority based in Crawley. The purpose of the role will be to support the Planned Maintenance department with all admin tasks including raising work orders, arranging appointments and dealing with tenant queries.

Duties will include:

  • To co-ordinate and maintain weekly / monthly measures in operational procedures and key performance indicators relating to Systems Thinking services provided by the organisation.
  • To maintain, co-ordinate and update data management systems employed by the organisation to provide an effective and responsive service
  • To provide, maintain and update accurate records relating to the ongoing stair lift contract including organising site inspections and service visits
  • To deal with and respond to customer requests via face to face, telephone, email and other forms of communication undertaking the initial investigation and discussing with the appropriate member of staff to resolve the issues raised and to provide adequate feedback and / or resolve enquiries at initial point of contact
  • To provide financial support in checking certificates and invoices which involves accounting for large sums on monies, preparing and assisting in queries, resolving issues raised to allow payments to be made
  • To co-ordinate and arrange meetings for members of the planned maintenance team as instructed and to include any external consultants to allow effective time management.
  • To be responsible for ensuring that statutory gas / electrical servicing and other records are kept up to date and to ensure all appropriate certificates and documents in relation to planned maintenance are properly logged on the council databases and filed or stored correctly
  • To provide accurate record of complaints in accordance with corporate policy, organising and co-ordination the correct response in taking action where appropriate
  • To escalate and resolve an enquiry when appropriate in accordance with agreed processes


The ideal candidate will have the following skills and experience:

  • Ideally a background working for a Local Authority or a Housing Association
  • Strong administrative skills
  • Excellent communication skills with the ability to deal with clients and customers at all levels
  • IT literate - Word, Excel, Inputting Data
  • Ability to prioritise in a busy and demanding environment
  • Excellent problem solving skills
