Lloyd recruitment services are pleased to be working with a leading nursery based in East Grinstead who are currently in search of a Payroll Administrator to join their team.

Experience essential and accounts qualifications an advantage. Flexible nature to quickly adapt to daily demands of a busy office nursery. To be able to work on own initiative and meet deadlines, good motivator, must have effective communications skills with a flexible and enthusiastic approach. Good command of Quickbooks, Excel, windows & Microsoft outlook mandatory.

·Provide high quality accounts and budgets to meet end of year accounts

·Record amounts & organise payment for Payroll liabilities

·Assist in Payroll

·Calculate staff working hours for time lieu and contract hours

·Record staff’s annual leave

·Reconciliation of accounts

·Update Policy & Procedures

·Maintain monthly ageing report and send appropriate statements to customers

·Collect & process cheques / cash payments and record on Quickbooks

·Redeem employer’s vouchers where necessary and record on Quickbooks

·Undertake monthly invoicing

·Maintain bank statements with Quickbook accounts package and reconcile monthly

·Check on receipt all invoices and record on Quickbooks and write cheque payments when required

·Co-ordinate and assist in price increases, adjustments to nursery prices and variable rates for the government grant vouchers

·Calculate & Record accurate numbers for Headcount days for all children in receipt of the government grant vouchers and post

·Maintain nursery stocks and supplies by re-ordering with the relevant companies in a timely way

·Petty Cash Maintain & balance

·Assist in managing budgets

·Record extra sessions from Registers and invoice accordingly

·Maintain monthly registers

·When necessary e-mail invoices to Customers

·Receive Tesco’s food requirements and order online weekly. Book delivery slot at 2 week slots

·Calculate meal orders for Zebedees using Registers and order online

·Maintain Government Grant Voucher Scheme i.e. check & record payments, keep accurate records on birth certificates/passport information and forms

·Maintain team photos in Hallway and policy & procedures (replaced six monthly) in staff room and porchway

·Assist in maintaining Police checks and references on staff personal files

·Keep up to date records of Registration Forms and re-issue six monthly

·Maintain prospectus

·Maintain update waiting list for new parents and issue confirmation of place when required

·Maintain back-up’s daily

·Responsible for safety and welfare of all staff members and children

·Attend training courses and maintain existing qualifications (e.g. First Aid/ Child Protection)

·Minute taking on staff meetings when required

·Welcome new parents and co-ordinate showing them around the nursery. Maximise occupancy

·Consult with external agencies such as Social Services, Child Protection, Ofsted as and when required

·Ensure information is obtained and stored in accordance with current data protection legislation

·To contribute to the grievance and disciplinary procedures when required. Follow organisational and legal requirements in the event of sub-standard work or gross misconduct

·Be a good role model and promote physical, intellectual, language, emotional, social skills, promoting a good self-image for all children that is non-racist and non-sexist

·Promote and show commitment to the local Council’s equal opportunities policy, by meeting the needs of each child regardless of age, class, culture, disability, gender, health, race and religion. Responsible for ensuring the full curriculum is available to every child helping them to realise his/her full potential and achieve a good self-image

·Maintain waiting list and keep in regular contact with customers

·Co-ordinate (with owner) outings and welcome visitors in to give talks to the children

·Responsible for safety and welfare of all staff members and children

·Treat information, or matters relating to the work within the nursery as confidential

Salary: £18K to £22K DOE
