In a Word

Actively contribute to a fully integrated Company Secretariat function that ensures the Group operates within its Corporate Governance responsibilities.  Assist the Group Company Secretary with support in operating within the regulatory, contractual and company framework and compliance with relevant governing legislation and regulatory requirements.  Support best practice governance for the People’s Pension Scheme and the Staff Pension Scheme.

Practically speaking

  • Supporting the Team by researching and sourcing appropriate training material for Directors; keeping CPD records up to date, and circulating training material as required;
  • Assisting with directors’ queries relating to register of interest, related parties and statutory records ;
  • Filing statutory accounts, annual returns and other statutory forms with Companies House, the Charites Commission and the Pensions Regulator as instructed by the Group Company Secretary;
  • Reviewing and compiling documentation required for corporate transactions, including formalities certificate and associated checklists;
  • As required, take minutes occasionally (subject to applicant’s skills set and agreement);
  • Making all arrangements for relevant meetings
  • Compiling agenda on the basis of instructions received
  • Seeking, tracking and collating board papers to support agenda (10+ per meeting);
  • Book meeting venue, arrange catering and parking and communicate arrangements/update to arrangements to attendees;
  • Prepare meeting pack on the day of the meeting, including documents for signature by directors;

If you’re right for this role

  • Established administration experience;
  • Highly developed organisational and prioritisation skills;
  • Good personal organisational and communication skills;
  • An enthusiastic and flexible approach to work;
  • Good team ethic with a clear understanding of the importance of excellent administration;
  • Numerate with strong attention to detail;
  • Able and willing to take ownership of tasks;
  • Ability to communicate at senior level.
  • Work well under pressure and in a challenging environment,
  • Meet tight deadlines and maintain confidentiality
  • Solve problems and show initiative
