Are you an experienced Legal Secretary? Are you looking for a long term opportunity within a friendly firm?

Search Consultancy is currently working on behalf of a vibrant and innovative law firm, based within Maidstone that is looking for a Legal Team Assistant to join the Private Client department. You will be responsible for supporting the Tax & Succession, Trust and Probate teams, covering all aspects of a Legal Secretary. This role will be reporting directly to the Service Delivery Manager within the Private Client department.

Duties and Responsibilities;

- Assist in day to day service delivery to clients
- Diary and Email management
- Closing and archiving of client files upon completion of matters
- Assisting billing & financial organisation activities as and when required
- Managing preparation of court bundles
- Checking and uploading client documentation
- Fielding and screening telephone calls
- Opening files
- Client contact including setting up meetings
- Supporting lawyers ensuring they are update with meetings and bookings
- General administrative tasks including filing, scanning, photocopying, printing, faxing and sending out letters
- Arranging meetings and travel arrangements
- Book conference rooms, support on setting up rooms including presentations and refreshments when needed, liaising with attendees both internal and external
- Work closely with BD Assistants when necessary in supporting lawyers in marketing activities including participation in planning of pitches and presentations
- Client liaison - face to face, telephone and email communication
- Covering other Legal Secretaries within the Private Client department when needed
- Maintain Excel spreadsheets when necessary
- Support lawyers in the billing and credit control process, liaise with the lawyers and accounts department making sure production of standard financial/time reports via the system are completed and up-to date

Skills and Experience

- Recent Legal Secretarial experience is essential
- Knowledge and background within Private client would be advantageous
- Typing speed of 60WPM would be desired
- Good IT Skills and knowledge of Microsoft packages including Word, Outlook, Excel and PowerPoint
- Excellent attention to detail
- Able to prioritise a busy workload and be well organised
- Team player
