Job Title: Legal Assistant/Secretary
Location: Buckinghamshire
Salary: £21,000 - £25,000 per annum

Search Consultancy are excited to work on behalf of a law firm based within Buckinghamshire, that are looking tor recruit for a Legal Assistant to be based in the Residential and Commercial Property department.
The main responsibility of the role will be providing an efficient service to clients by proactively completing and preparing client files under the management and direction of the appropriate solicitors. You will be accountable for supporting and assisting within a secretarial and administrative capacity to the group and fee earning team.

Duties & Responsibilities;

- Preparing Land Registry application forms, SDLT Returns and deal with follow up under management of lawyers
- Carry out Searches
- Maintain Client database and keep up-to date
- Prepare initial draft documents, reports and drafting letters
- Liaising with clients, taking initial enquires and ID Documentation
- Report on any complaints from clients or third parties
- When required, download documents from relevant authorities, Land Registry etc
- Observing the code of practice in all areas as detailed in the Solicitors Code of Conduct including the requirements of the Solicitors Accounts Rules and Lexcel requirements
- Ensure all work is prepared within accordance to the firm's standards and practice
- Prepare and handle completion of transactions including the preparation of completion statements
- File management
- Support in collecting all outstanding costs and expenditures from clients and notifying the lawyers if levels of unpaid costs exceed those levels that are recorded as budgets show
- Opening and closing client and internal files
- Perform on-line money laundering and identification checks and prepare the relevant forms and documentation
- Carry out conflict checks on new transactions
- Ensure that all files are compliant with SRA and Lexcel requirements under the supervision and management of lawyers
- Administrative duties including scanning, filing, photocopying and archiving files
- Communicate with the Accounts department when required, ensuring that the accounts administration is accurate and completed within a timely manner and includes paying in and request cheques, complete expenses, client entertainment forms and CHAPS payment forms
- Setting up and documents within Word, Excel, PowerPoint and Oyez as and when required
- Audio and Copy typing
- Diary Management
- Organise internal and external meetings, book rooms when appropriate and organise refreshments if needed
- Ensure that faults within the departments IT, printing, photocopying and fax machines are reported and action is followed up
- Dealing with enquires regarding deeds and/or historic files
- Organise work received from the outsourcing company including arranging necessary enclosures

Skills and Experience;

- Recent knowledge and experience within a Legal Secretarial position is essential
- Experience within a Commercial and Residential property team within a law firm environment is required
- Excellent communication skills both verbal and written
- Client focused in giving exceptional service when required in building client relationships
- Able to multi-task and prioritise a busy workload
- Ability to follow clear instructions and but able to show initiative when required
