We are looking for a bright, outgoing administrator to enrol on an apprenticeship in business administration who will thrive when working in a fast-paced environment. This role demands impeccable attention to detail, multi-tasking and prioritization skills. It will also require you to be able to demonstrate the following:
  • Good organisational skills
  • Able to work proactively in meeting deadlines and coordinating administrative support to a very busy sales office team and finance / administration department within IT recruitment
  • A keen attitude to work well with others in a friendly office
  • Work well under pressure

Key Responsibilities
  • Answering telephone calls and dealing with queries
  • Calls to candidates to confirm interview dates and time, to verify details on CV such as email address/ employment dates/references. Calls to job boards or suppliers of any nature to deal with queries/renewal of services etc.
  • Formatting CV's for consultants and directors - ensuring that they are well presented and accurate, following the standard format, making sure each front sheet for each formatted CV is accurate and correct for the client.
  • Sending interview confirmations with all details to successful candidates and clients via email, along with assisting the sales/resource team in arranging the interviews when needed.
  • Liaising with clients and contractors regarding interview dates/times, contract details such as dates, rates, possible extensions, new contracts, amended contracts and termination of contractors, contractor information such as date of birth, next of kin, references, etc.
  • Liaising with contractors on timesheet chasing, Invoicing and payments.
  • Composing general letters and emails on behalf of the sales team or director to clients, contractors, candidates or suppliers regarding new contracts, contract extensions, amended contracts, new contracts and terminated contracts, interview feedback (positive or otherwise), purchase order numbers, master agreements, booking confirmations, insurance information, scheduling conflicts, meeting requests etc
  • Setting up and completing contracts for successful candidates and sending them to the relevant new contractors and clients along with the required new starter information.
  • General filing of contracts, master client agreements and any other necessary paperwork.
