Our client is seeking a Sales & Customer Service Advisor Adminstator
RESPONSIBLE TO : Sales Manager – UK Commercial Sales
JOB PURPOSE : To deal with customer enquiries in order that customer service standards and sales opportunities are maximised.
MAIN RESPONSIBILITIES :
1. To handle all telephone, email and faxed sales enquiries, dealing with or referring where necessary.
2. To accurately prepare quotations and supporting sales literature based on current price list or instructions from the Director/Managers.
3. To contact customers regarding lead times, pricing and product enquiries.
4. Manage customer and prospect data in the CRM system – adding new contacts, keeping existing contacts up to date and adding relevant information, including correct contact information, discounts, special pricing and shipping terms.
5. Record and save relevant customer emails and communication history in CRM system
6. Review weekly the quotations log in the CRM system. Chase quotes highlighted for follow up and continue to chase for results to conclusion.
7. Accurately enter customers’ purchase orders onto the computerised order book, checking stock availability and lead times prior to processing order, and advise customers if different to quotation.
8. To identify opportunities to sell from stock in order to maximise stock turnover, and to reduce lead times.
9. To identify opportunities to increase order value, including carriage recovery and handling fees.
10. Check and file acknowledgements with telephone log/purchase order, on receipt.
11. Identify incomplete orders that are within 1 week of despatch date and liaise with the Customer Service Planner to establish current status and lead times, informing the customers accordingly. Continue to chase until order completion.
12. Ensure that any amendments to sales order are notified immediately to the Manufacturing Department.
13. Where applicable, to liaise with the distribution service provider to obtain accurate cost of freight and/or shipping transit time.
14. To liaise with Credit Control on all matters concerning payment terms, debtors and opening of new accounts, processing orders accordingly. Refer issues to the Sales Manager.
15. To process customer after sales complaints following company procedures.
16. Report to the Customer Service/Marketing Manager any enquiries over £30K.
17. To undertake specific telephone campaigns as directed by the Sales Manager for the purpose of soliciting orders to meet monthly budget, sell slow-moving stock and gather information.
18. To price products within defined customer pricing parameters by looking at trade price and agreed customer discounts, in order to maximise the Division’s pricing margins. Refer margins lower than 40% to the Sales Manager.
19. To comply fully at all times with the Company’s policies, procedures and guidelines laid down in the performance of all duties.
20. To provide general back up assistance for other team members, including job cover in their absence, as required.
21. To carry out ad hoc tasks and projects as required, and to carry out any other duties as reasonably requested from time to time by your Line Manager or Senior Manager.
