Job Title: Part-time PA / Administrator to Director of Care

Salary: FTE £18,000, Pro Rata £10,800

Location: Haywards Heath (outskirts)

Duration: Permanent

Hours: 22.5 hours per week (hours/days to be discussed)

Benefits: 25 days holiday plus bank holidays, pension

We are excited to be working with our established client in their search for a part-time PA to join their team. This is an exciting role for a candidate with previous experience working in an administrative and PA role, who enjoys working within a productive, efficient and friendly office environment.

The PA will be responsible for providing confidential, administrative support to the Director of Care/Registered Manager/Controlled Drugs Accountable Officer. As such, the ideal person will have previous exposure in a Personal Assistant role (ideally in a healthcare environment) excellent communication skills and the ability to organise and prioritise workloads.

Duties and Responsibilities:

* To provide a full and pro-active administrative service to the Director of Care screening telephone calls, enquiries and requests, in order to resolve day to day issues on their behalf

* To filter and respond appropriately to their incoming post and emails, drafting letters, notes and reports as required and to organise diaries accordingly

* To support the Director of Care/Registered Manager to undertake administration of relevant clinical policies and procedures

* To co-ordinate the senior nurse on-call rota and disseminate accordingly, through ensuring that any process information regarding the on-call rota is kept up to date

* To cover for the Executive Assistant to Chief Executive and Trustees during periods of annual leave or sickness absence to enable minimal disruption

* To participate in general Reception duties

* To monitor leave requests of and ensure safe and effective cover in place

* To devise and maintain office systems to deal efficiently with documents and computer-based information, enabling smooth, efficient and secure working practices

* To organise travel and accommodation requirements for Clinical Directors and their direct reports to ensure cost efficient, timely bookings

* To allocate tasks to volunteers as appropriate

The Person:

* Good education to a minimum of GCSE, or equivalent, with Maths and English

* Experience of using SystmOne or similar record system

* Minimum two years’ experience in an office environment

* Comprehensive knowledge of MS Office Programmes

* Excellent communication, organisational and customer service skills

* Ability to work independently and as a supportive team member

* Well organised and good time management

* A team player, supportive of others and willing to accept help

* Knowledge on administration in a healthcare setting
