Job Title: Technical Administrator / PA to Technical Team

Salary: £12.82 per hour

Location: Burgess Hill

Duration: Temporary for 3 months

Hours: Monday to Friday 9am – 5:30pm (1 hour lunch)

A local business providing equipment and machinery relocation and installation services on an international scale. The full service includes a survey of the client’s establishment or collection details, costings are acquired and quoted for which outline the necessary machinery and transport links needed, this is then project managed to provide a seamless service taking care of all dismantling/collection, labelling, delivery/export, any contract staff/specialist machines required and health and safety assessments.

Role overview:

This role will be to provide assistance to the Technical Sales Team ensuring vital documents, correspondence and administration are taken care of, to ensure the services they provide runs smoothly and to time targets.

Project related functions

* Finding equipment availability and obtaining quotes

* Raise transport quotes for clients

* Raising supplier purchase orders and hiring of equipment

* Liaising with the Technical Managers for up to date progress reports on open quotes and jobs, contacting clients for updates on open quotes.

* Checking client purchase orders against obtained quotes

* Exception reporting re RAMS/Completion Statements returned to Head Office, chasing any missing documentation and updating the Work Diary accordingly

* Maintaining the Approved Suppliers Matrix and contacting suppliers for in-date insurance certificates and other documentation required

* Completing Contractor Assessment forms for clients and returning them with the required documentation

Administration

* Answering the phones and opening/sending post

* Contact Protier for equipment and arranging equipment checks

* Scanning Completion Statements and other site/equipment documentation to Office 365

* Update Approved Documents

* Order stationary and other items for Head Office

* Maintaining the Sales Results spreadsheet and other reports on performance and staffing levels

* Collate driver records, log mileage and book vehicles in for servicing/MOTs

* Maintain and organise personnel documentation in staff files

* Maintain the Qualification Matrix, research and book courses for staff

* Maintain the Toolbox Talk Matrix, chase any missing Toolbox Talks from Supervisors

Key skills required:

* Highly organised and very efficient

* Excellent attention to detail

* Experience in purchase orders/quotes, sales admin, scheduling or project management role would be beneficial

* Excellent communication skills

* Confident and calm in working to deadlines

* Good numeracy skills
