OFFICE & PURCHASING MANAGER / PERSONAL ASSISTANT TO THE MANAGING DIRECTOR
Managing Director of fast-growing FMCG business requires an organised, confident (borderline bossy) and meticulous Company Secretary and Executive Assistant. Fluent English both spoken and written, excellent timekeeping, a great telephone manner and interpersonal skills are all a must. Importantly this managing director needs a candidate who can intuitively organise him, the workforce, his diary and gatekeep his office door.
As part of this role, you will be purchasing all materials for the company, you will be liaising with suppliers and the production department and attending weekly production meeting on behalf of the managing director along with general office manager duties.
As his EA, you will often act as the managing director's first point of contact with people from both inside and outside the organisation. This managing director is looking for his right-hand man or woman to help keep the business, and his life running smoothly. OTHER RESPONSIBILITIES
- Managing the director’s diary.
- Arranging travel, visas and accommodation
- Maintaining office systems, including financial admin, photocopying and filing;
- Assisting the managing director with his personal errands. e.g. booking personal appointments and reminding Director of family birthdays and commitments.
- Meeting and greeting visitors at all levels of seniority
- Dealing with and filtering and organising incoming email, faxes and post, often corresponding on behalf of the manager;
- Carrying out background research and presenting findings
- Organising and attending meetings and ensuring the manager is well prepared for meetings;
- Liaising with clients, suppliers and other staff.
- Recruitment of new team members.
- Purchasing materials for both factory and office
- Managing the current purchase order system
- Maintaining relationships with supplier representatives
- Negotiating best terms with suppliers
- Provide office-based assistance to factory and design teams
Requirements:
- 4+ years of senior-level experience is a must.
- Touch typing and secretarial skills are key.
- Must be flexible and well organised
- Must be a be pro-active with tasks and duties
- Good references will be requested.
- A valid driving license is a bonus.
