Overview of role:

KSD Support Services Limited (KSD Group) is one of the fastest growing, privately owned, building maintenance and facilities management support services companies in the UK. KSD are seeking an experienced Fleet Manager, the post holder will be responsible for ensuring KSD’s vehicle fleet is managed and maintained in such a manner as to support operations in the most efficient way possible.

The primary responsibilities of the job are:

  • Ensuring effective and timely maintenance, servicing, and repair of KSD vehicles in order to minimise down time.
  • Developing, implementing and enforcing vehicle management best practices, policies and procedures.
  • Delivery of training to national staff in order to strengthen capacity to conduct maintenance and repairs of vehicles.

Principal Responsibilities:

  • Coordinate, administer and monitor the maintenance, repair, replacement and logistics of company vehicles.
  • Ensure preventive maintenance programs are carried out as per schedule and monitor post repair performance.
  • Supervise and if necessary undertake the timely repair and servicing of damaged vehicles in order to minimise downtime.
  • Manage the inventory of spares parts for vehicles, in order to ensure an adequate supply of spares.
  • Conduct analysis of vehicle status and make recommendations for timely replacement.
  • Control transfer and movement of vehicles between project locations as required by operations.
  • Ensure all vehicle operation policies and systems are up to date.
  • Where directed, to undertake research projects and make recommendations on future procurement to ensure best value is achieved.  
  • Regularly review and update vehicle fleet related policies at least once a year.
  • Set and monitor the maintenance and quality standards and programmes for all types of vehicles in accordance with statutory guidelines in order to maintain a fully operational fleet of appliances and vehicles 24/7.
  • Undertake technical assessments of vehicle defects and where necessary determine the most appropriate engineering solution to ensure maintenance of the Services fleet.
  • Manage any vehicle correspondence relating to the vehicles and drivers; i.e. Speeding Tickets/Parking Tickets.
  • Manage vehicle trackers alongside timesheets/private vehicle use.
  • Develop, maintain and monitor the Fleet records section, accurate and timely Fleet management information.
  • Practice and promote the Health and Safety policies of the Service to ensure the development and progression of health and safety within the sphere of responsibility of this job description and the health and safety of all employees and customers. Provide the necessary training, information and
  • instruction for staff on the use, handling or purchase of any substances classified as hazardous, along with appropriate personal protective equipment to ensure safe working practices.
  • Ensure that all legislative processes and procedures are adhered to at all times and that staff are compliant with current legislation and make sure that relevant checks are undertaken.

Qualifications and experience

  • Educated to degree level or equivalent within an engineering or relevant discipline.
  • Experience of working in a diverse motor transport department with exposure to a diverse vehicle and plant asset base.
  • Experience of developing and executing a commercially focused Fleet Management strategy.
  • Strong leadership and influencing skills
  • Sound commercial and financial background.
  • Strong stakeholder management skills and ability to communicate effectively with all levels.
  • Full driving license
  • Experience in safety management systems

Working Days: Monday to Friday

Working Hours: 8:00am-5:00pm

Salary: £27,000.00- £30,000.00 dependent on experience.
