This position will be responsible for the management of OCS employee expenses in our Concur & SAP systems. Ensuring the completeness and accuracy of claims, paid within company guidelines.

As the Finance Assistant, you will be providing cover & support for the other members of the Cash Team with a focus on delivering service excellence to all internal stakeholders and ensuring that timelines and strict key performance indicators are adhered to.

You will also be assisting in other general duties as requested by Senior Management and working towards streamlining month end processes and reducing timelines.

Responsibilities will include:

  • Being the helpdesk for employee queries relating to personal expenses, company credit card expenses & mileage reimbursement
  • Managing the staff expenses mailbox
  • Processing claims in Concur and posting the extract file into SAP for the cash claims
  • Managing new Barclaycard applications including records and prompt submission of claims
  • Administrating Concur & the Barclaycard account
  • Processing claims in Concur
  • Analysing the G/L selection & appropriate VAT treatment in submitted claims
  • Company Expenses Accounting
  • Raising bi-monthly personal expenses BACS runs
  • Calculating and posting monthly company credit card accruals & update actuals
  • Monthly Concur reporting & any adhoc requirements
  • Monthly Balance Sheet reconciliations
  • Submitting monthly mileage account to Payroll
  • Month End closing for mileage count, including approvals on an adhoc basis
  • Supporting the Finance Manager during Audit
  • Working towards continuous improvements in quality and efficiency of all work completed
  • Providing holiday and sickness cover for the Cash Team for routine tasks
  • Any other tasks/activities required

Experience required:

Education/Qualifications

  • Minimum GCSE grade A-C in Maths
  • Preferred AAT studier or AAT Qualified
  • Intermediate Microsoft Excel skills

Working experience/Personal attributes

  • Previous experience in managing staff expenses
  • Good understanding of VAT
  • Good double-entry bookkeeping skills
  • Experience in banking/cashiering - dealing with cash
  • Knowledge of using an accounting system preferably SAP
  • Good organisational skills
  • Able to work as part of a team and on your own
  • Happy with understanding when attention to detail is required but can also grasp the bigger picture
  • Proactive, methodical and an analytical nature
  • Comfortable working to deadlines
  • Excellent problem-solving skills along with the ability to identify and escalate matters which require remedial action
  • Good verbal and written communication skills
