Brief overview of the role

This role is the school's leading support staff professional and assists the Head Teacher, Business Manager and Senior Team to ensure that the school meets its educational aims. You will promote safeguarding and support our performance standards and targets whilst adhering to the school's health and safety at work policy.

Vacancy description

The Office Administrator promotes the highest standards of business ethos within the administrative function of the school and strategically ensures the most effective use of resources.

The Office Administrator is responsible for providing advice and supporting the School Business Manager in Administration Management/Management Information and ICT/Facilty and Property Management/Health & Safety management of the school.

Key Tasks:

  1. To provide a warm and friendly welcome to all visitors to the school and offer refreshment upon arrival.
  2. To ensure all visitors are signed in and have the correct coloured lanyard.  To record DBS numbers where appropriate.
  3. Undertake administrative duties in accordance with statutory and school requirements including providing telephone cover and message service, process incoming and outgoing mail.
  4. To ensure attendance registers are completed daily, kept up to date with information and report to the DFE when required.
  5. To administer all correspondence, paperwork and other clerical duties required in respect of the school's relationship with the local education authority.
  6. To check and replenish stationery, all other stock including consumables and to keep an up to date inventory of equipment.
  7. To monitor employees training records ensuring all training certificates and policies are signed and within date.
  8. To sort incoming and dispatch outgoing mail.
  9. To update and maintain the school asset register termly.
  10. To support the School Business Manager in the day to day premise management of the school.
  11. Responsible for updating the website and making sure it is up to date with statutory requirements.
  12. Assisting the School Business Manager with Health & Safety requirements throughout the school.
  13. To accurately maintain the whole school calendar.
  14. To undertake additional duties relevant to the role.

  • be able to proof read and correct grammar prior to circulation
  • knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly-used office packages
  • strong IT and typing skills
  • the ability to prioritise tasks and work under pressure
  • good team working skills and resilience to work independently when required
  • the ability to manage your workload and help and answer questions from others concurrently
  • excellent interpersonal, oral and written communications skills

  • a familiarity with data protection is useful but not essential
  • ability to get to the school independently as there is limited public transport.

  • Confident enough to be able to talk to parents, local authorities, providers and governors
  • Proof reading skills and attention to detail would be ideal
  • A good understanding of how to run a social media account and websites
  • IT skills beyond the Microsoft packages
  • A starter-finisher

Join our small, caring, friendly and dynamic office team who provide essential support roles to enable the smooth operation of the school.

Step by Step is a successful, not for profit independent special school for children on the autism spectrum.  We are located near East Grinstead in the beautiful Sussex countryside. The June 2018 Ofsted inspection graded the schools as Outstanding in three categories and Good in one category.  The pupil population combines students with complex needs and those who are on the moderate to severe end of the autism spectrum.

The school provides an individualised curriculum delivered through the principles of Applied Behaviour Analysis for pupils aged 4 to 19.  The school is currently registered for 32 pupils.  The office team work alongside all the other professionals associated with the school

Training

Training provider: EAST SUSSEX COLLEGE GROUP

Training to be provided

You will be employed full time working in the school.  You will receive your training from East Sussex College who will visit you regularly at the workplace.  You will have a regular review every 12 weeks to ensure that you, your tutor and your employer are satisfied with your progress.  You will have access to an on-line support platform and you will be able to contact your tutor at any time.  

The Business Administrator Apprenticeship is at the Advanced level and has an 18 month length of programme.
