PA / Marketing Assistant
Overall Purpose of the Job:
The main focus of this role will be to work closely with the Managing Director, to provide administrative support on a one-to-one basis. You will have a wide range of duties supporting the expansion of a uniquely different Gatwick Builders Merchant. The role involves administrational support to ensure key company objectives are met, which will include at times assistance to key reports. The primary skillsets required are Social Media & Marketing, plus a thorough understanding of the full MS365 package.
Key Activities & Responsibilities:
- Marketing – Provide content for weekly advertisement working with our in-house SEO developer. Creating mailshots (experience essential). Investigating cost-effective brand awareness campaigns and seasonal advertisement, advancing new business and maintaining current relationships.
- Website – Assisting in adding new product lines to website along with pricing updates. Checking changes that have been made by web developers.
- HR Management – updating & uploading HR and Health & Safety policies and procedures, absence reporting, enrolling new starters (creating contracts, checking eligibility to work and licences etc. adding to HR system), assist in recruitment when required.
- Intact IQ (CRM/ERP & eCommerce System) – Assist with implementation and training on brand new ERP system. (MS365 & CRM experience essential).
- Stationary & consumables – Constantly monitor use of stationary and other consumables to reduce costs. Replenish as required.
- Assist finance department – assist with new account management and payment procedures (i.e direct debit submissions).
- Reports & research – Conduct research and analyse as required; post code and competitor research, new product pricing, consumables etc.
- Document management – Ensuring all documents are saved correctly using Microsoft OneDrive and SharePoint.
- General duties – Diary management, minute taking, proof reading, meeting & greeting, producing purchase orders along with general office management tasks.
Required Skills/Experience:
- Exceptionally IT literate – excellent knowledge required of Microsoft 365 in particular; OneDrive, SharePoint, Excel, Word, PowerPoint, ideally MS dynamics too.
- Social Media & Marketing experience and expertise is a mandatory requirement.
- Due to the nature of the role, understanding sensitivity of issues and the need for discretion and confidentiality are also essential attributes.
- Excellent time management & ability to multitask
- Ability to quickly establish credibility and respect and build strong working relationships with department managers and all staff. Demonstrable maturity, professionalism and gravitas, tack & diplomacy.
- Extremely well organised, with excellent attention to detail.
- Exceptional communication skills, both verbal and written, ability to communicate with colleagues and clients at all levels.
- Self-motivated, with an ability to work and think under own initiative.
- PA Diploma or Certification would be considered an advantage.
About you
- Extremely well organised, can do attitude.
- Highly proficient in all Cloud, OneDrive, SharePoint and Cloud CRM. Accomplished with Excel spreadsheets.
- Sales & Marketing experience mandatory.
- 2 x year minimum Experience as PA (basic finance knowledge or some experience in finance too)
Extra Info
- Monday to Friday 8:00-17:00 with 1 hour for lunch.
