Apprenticeship summary
Our administration team is the first point of contact for our customers and staff. The team are responsible for maintaining our administrative processes, ensuring our business adheres to them; financial records are kept accurate and up-to-date. We strive to provide the best service in the most economical fashion while enhancing the profitability
Administration role involves the following
- Being the first point of contact for customers and suppliers when they phone, email or visit
- Communicating with site staff and impressing upon them the need to complete and return administration information to the office
- Timesheet input into the costing system, collation and checking of the accuracy of hours works and miles travelled assembling this information into a summary for processing by our payroll provider
- Raising purchase orders for site staff to keep likely spend on a job up to date
- Receipt into the costing system invoices from suppliers
- Chasing up and resolving outstanding purchase orders
- Process expenses into the costing system and Sage
- Balancing supplier statements to the amounts recorded in Sage
- Reviewing vehicle check lists, organizing and planning maintenance and renewal of VED, Tracking, MOT’s
- Planning and organizing staff training sessions as required when they reach their expiry dates or new staff join
- Filing and organizing paperwork, ensure we maintain our records for the required length of time and securely dispose of the records after they reach the end of the retention period.
- Managing the collection of information to enable the company to complete its applications for various accreditations e.g. CHAS, ISO, ECA, NICEIC

- Confident to talk to people even though you may not know the technical details of the issue

- Knowledge of the use of social media

- Willing to learn new skills and pitch in to help others even if unfamiliar with the task
- Discretion as you will be handling personal and confidential information
Desired qualifications
- GCSE maths & English (Grades 9-4 (A*-C) or equivalent qualifications
Future prospects
- On completion of the Apprenticeship, the successful candidate may be offered a permanent position. Previous administrators have taken on the role of Accounts and Office Manager after developing their finance skills and having successfully delivered in their role
Things to consider
- Due to our location, the use of public transport is not suitable for reaching the office and applicants should be confident that they are able to reach the office under normal circumstances

Greater Brighton Metropolitan College (MET) was created from the merger of City College Brighton and Northbrook College Sussex. It is the college for our City and our region and draws on 150 years of heritage, history and experience.
