  • Working week: Monday - Friday 9.00am - 5.00pm with 30-minute lunch break three days per week and 45 minutes two days per week (days to be agreed).

Vacancy description

Key Responsibilities:

  • To host Carers' Centre, welcoming guests and support their use of the Carers' Centre
  • To process all general incoming communications whether the communication is received by telephone, email, post or text
  • Operate and maintain an automated telephone system including setting alternative welcoming messages and monitoring a central voicemail for general messages ensuring a frinedly and professional welcome to callers
  • 'Buddying' with colleagues lone working in the community, ensuring that any potential safety issues are escalated without delay in line with procedures
  • Be responsible for collating and sending text reminders to Carers for Groups, Clinics, Home visits and any other events
  • Be responsible for collating and issuing Carers Welcome Packs and Carers Cards to carers together with any other materials as directed by Carer Support Workers or other colleagues
  • Support the coordination of meetings, including the provision of refreshments and preparation of meeting spaces
  • Process new incoming referrals in accordance with the organisations procedures
  • Support the maintenance of the organisatiosn database, entering up to date records of communications undertaken
  • Undertake a range of administrative tasks, to include photocopying, telephone surveys, outgoing post and updating reception and Carers Centre information notice boards 
  • Be responsible for maintaining an adequate stock of office and kitchen supplies
  • Support the finance function of the organisation by maintaining and recording petty cash transactions, recording and banking income received by cash or cheque
  • Support the fundraising function of the organisation by recording donations received on the databse and issuing Thank You letters as directed by the Fundraising Manager
  • Acting as the organisation's named First Aider and primary Fire Marshal
  • Provide cover for administration colleagues in their absence to cover essential functions
  • Actively participate in own supervision and training
  • Act at all times in accordance with Carr for the Carers policies and in a way that will ensure the reputation of the organisation is maintained
  • Carry out any other duties commensurate with the post as agreed with your line manager

Desired skills

We are looking for somebody who is:

  • Highly organised and methodical
  • Has a high level of attention to detail and accuracy when recording information
  • Able to follow instructions, take responsibility of own work, work alone and as part of the team
  • Knowledge of Microsoft Word, Excel and Outlook
  • Reliable time keeper

Personal qualities

We are looking for:

  • Sensitivity and understanding and the ability to apply these when dealing with carers whhilst acting within the boundaries of the role
  • Good judgement and discretion al all times
  • An approachable friendly professional person with good communication skills
  • An ability to evoke confidence in others
  • You to be motivated by providing a service to individuals
  • Ability to handle sensitive information confidentially
  • You to be proactive, self-motivated and energetic

Desired qualifications

  • English GCSE at Grade 4/C or higher or equivalent
  • Maths GCSE at Grade 4/C or higher or equivalent

Future prospects

We hope that upon successful completion of the training programme the apprentice will continue their career with Care for the Carers. This does however depend on there being a suitable vacancy at the end of the apprenticeship.

Things to consider

Currently to be able to work remotely - for example to have access to the internet, all IT equipment will be supplied.

When restrictions allow, be able to travel to our office base in Eastbourne.

Care for the Carers is an independent charity and the Carers Centre for East Sussex. We have been supporting and representing unpaid carers in East Sussex since 1989.

Our team of staff and volunteers can provide free practical and emotional advice - face to face, by telephone, or online. We can put people in touch with other carers, and help you nevigate the range of services available locally. We also run support groups, training and events acrtoss the county - whether people are interested in speaking up on important issues, or haiving some time out to relax and meet new people.

Care for the Carers represents carers and raises awareness of caring, working with local communities, organisations and service providers to build a carer friendly East Sussex.

Allour work is developed with carers, and in response to their expressed needs and reflects local and national strategy, legislation, research and best practice.

Training to be provided

Advanced Business Administrator Standard.

You will be working full time for Care for the Carers but you will have 20% of  your paid time in 'off the job learning' which will include time with your assessor/tutor on a one-to-one basis. Your tutor will come to you on a regular basis every 4-6 weeks depending on your need. You are also able to have on-line support from your tutor.

You will build a portfolio of your competencies as you go through the programme which will contain examples of work you have completed.

Your apprenticeship will be completed by an End Point Assessment which will include:

  • A knowledge test
  • A portfolio based interview
  • A presentation of your project
