Job Details

We are seeking to appoint a Level 2 Apprentice – Customer Service to work as part of the Departmental Administration Team. The post will offer the right candidate the opportunity to develop generalist administration skills and gain a level 2 qualification in Customer Service.  As well as the practical experience gained by working within the team, there will be a requirement to attend lessons for 6 hours per week.

This diverse role requires a very highly organised, efficient, and flexible individual who is both process and customer focused, and able to produce all work to a very high standard and to tight deadlines. Providing comprehensive administrative support the full scope of curriculum including FE, HE, full cost commercial, English and maths, Apprentices and International.

The post holder will be experienced and highly motivated with excellent interpersonal skills.  They will be responsible for providing administrative support and providing highly effective and efficient administration within a designated cluster of curriculum areas in the College.

The post holder will need to be able to work effectively as part of a team, be extremely flexible, and importantly produce work of a very high standard to tight deadlines. The post holder will have excellent administration and organisation skills plus high-level written and verbal communication skills.  Excellent IT skills and a customer service focus is essential, as is the ability to work on own initiative and be proactive and positive.

The post holder will need to possess a high level of professionalism and confidentiality, with a positive ‘can do’ attitude with excellent IT skills, advanced Microsoft Office, Outlook, Excel, and Word skills and excellent listening, written and verbal communication skills are essential for this role.

The role requires delivering a very high level of customer service to students, staff, and external stakeholders, together with the ability to manage enquiries, work collaboratively with other College departments and communicate effectively. Attendance at College recruitment and marketing events will also be required and this may involve some occasional evening and weekend work.

The post holder will report to a Business Administration Manager on a day-to-day basis and will be accountable for the duties below. This list is not exhaustive and may vary from time to time in order that the accountabilities may be met. Such changes are a common occurrence and cannot of themselves justify a re-grading of the post.

  • Supporting the management of the general administrative functions of the Curriculum areas including
  • Prioritisation of own tasks and working to deadlines, within the context of supporting curriculum staff and cross college departments
  • Undertake tasks including responding to and writing e-mails, letters, making telephone calls, dealing with queries, communicating with students, staff members, external stakeholders, members of the public
  • Organise and schedule meetings, minute taking and writing up of actions as required.
  • Collate information, produce documents, spreadsheets and reports for a range of   purposes as required
  • Support the process of purchase ordering, the receipt of goods, processing of orders, invoices, and cash advances
  • Support the maintenance of stationery requirements of the curriculum areas
  •  Keep up to date with new processes, procedures, software etc.
  •  Maintain secure and well organised curriculum areas records and files in accordance with agreed protocols
  •  Ensure compliance with College policies and procedures by teams
