We are looking for an experienced and motivated Senior Administrator to lead our busy Administration team.

Time to Talk is an IAPT (Improving Access to Psychological Therapies) service providing therapy within primary care and community settings to patients with mild to moderate depression, anxiety and other psychological illnesses. Time to Talk in West Sussex is a leading, high-performing IAPT service.

Main duties of the job

The successful candidate will be responsible for the day to day running of the Administration team, reporting to the Business and Administration Processes Manager and ensuring continual administrative cover. They will also lead and develop the Band 3 Referral Administrators, ensuring they receive supervision and personal development reviews as per Trust policy.

The post is full time and will be based in Chichester. There is a rota system in place that will be discussed at interview.

Detailed job description and main responsibilities
Integral to the team's success is our administrative support. As a Senior Administrator you will ensure the administrative support provided frees up clinician's time helping to ensure their clinical time is optimised to benefit the people using our services.

As well as providing high quality administrative support to the teams within these services, the post holder will ensure we provide a high level of confidential administrative support to our clinical community multi-disciplinary team. They will ensure the provision and maintenance of accurate data and administrative systems. The post holder will be expected to manage their own workload, demonstrate attention to detail, utilise their efficient organisation skills and work autonomously supporting the above staff. They will also act in a direct supporting role to the leadership team.

This is a key role overseeing a team of Administrators who offer support to the team. The post holder will be an experienced team player who has proven experience and is able to lead, coach and supervise a team to ensure a high quality, accurate and timely service provision. They will be self-motivated and able to work effectively, in what can at times be a pressurised environment supporting and leading a team to achieve deadlines.

An ability to celebrate the team's achievements but also bring new and effective ideas to enhance the administrative support is a necessary requirement. The post holder will be able to identify potential reviews of systems and processes and work with the team, Business

Qualifications
Essential criteria
  • Educated to GCSE level in Maths and English, or equivalent (pref Grade A-C)


Desirable criteria
  • Hold a NVQ Level 3 or equivalent business ad-ministration qualification
  • ECDL


Experience
Essential criteria
  • Previous substantive administration- provision experience
  • Excellent computer literacy including advanced use of MS Office
  • Experience of using a bespoke software programme.
  • Experience of working within a team
  • Knowledge and experience implementing and/or working within organisational policies


Desirable criteria
  • Knowledge of basic financial practice and systems
  • Knowledge of contract and service level agreements
  • Working within a NHS/Health setting

  • Ability to travel across West Sussex
  • Able to work shift patterns to cover the service hours of 07:30 - 20:00
