An opportunity has arisen for an Administrative Team Lead in the Podiatry Department.

Please note that this is an office based role.

Main duties of the job

The successful candidate will provide a level of management locally to the Podiatry Administrative Team as well as undertaking a comprehensive range of administrative tasks in support of the Podiatric Clinical Staff, the Operational Lead and the Clinical Services Manager for Podiatry.

Detailed job description and main responsibilities
They will act in a direct supporting role to the Operational Lead with regard to payroll and absence monitoring, the calculation of annual leave and monitoring thereof, ordering of Service supplies, both clinical and administrative and clinical timetabling where appropriate and provide a first point of contact in the absence of the Operational Lead.

The successful applicant will be expected to support the Operational Lead, the team administrators and the wider Podiatry team. They will be expected to work independently using their own initiative to ensure daily tasks and on-going responsibilities are prioritised and completed within agreed timeframes.

Qualifications
Essential criteria
  • NVQ Level 3 or equivalent qualification in business administration or equivical expeirience will also be considered.
  • GCSE in maths and English (or equivalent competence.


Experience
Essential criteria
  • Working in an office environment where a large range of callers and visitors are received.
  • Dealing directly with customers, patients and members of the public.
  • Arranging meetings involving people from different organisations including co-ordinating diaries, booking meeting rooms and sending out agendas and papers.
  • Stock control, ordering supplies and processing financial documentation.
  • Contributing to the development of adminstrative or office procedures.
  • Communicating effectively with a diverse range of people.
  • Handling peronsally or commerically sensitive information.
  • Organising the work of others including setting up rotas, monitoring work load and performance.


Desirable criteria
  • Managing a team of admin support workers in busy multicentre service.


Skills and Knowledge
Essential criteria
  • Able to take clear meeting minutes or notes.
  • Able to listen to and accurately represent the views of others when inviting feedback about administrative matters.
  • Advanced skills in using microsoft office software to create attractive and well laid out presentations. Able to use microsoft outlook for diary, workload and email management.
  • Fast, accurate keyboard skills.


Desirable criteria
  • Knowledge of System 1

  • Ability and willingness to travel to other localities within the Trust catchment area.
