Job overview

The Older People Mental Health Liaison (OPMHL) is based at Worthing Hospital. We are a very small team of three nurses and welcome the skills and friendly person for the role of Team Secretary. The successful candidate assists the team leader in the day to day administration of the department and will take responsibility for a variety of tasks, enabling the Team Leader and wider team members to carry out their duties efficiently and effectively. The post holder will achieve this by providing a wide-ranging administration service. The nature of the work is extremely varied and this requires the post holder to manage their own day-to-day workload, using their own initiative with limited supervision. There needs to be an understanding of the role/work and relevant procedures as well as excellent judgment, have an organisational ability and good communication skills. Much of the work is non-routine and will require the need to prioritise while working to tight and multiple deadlines.

Main duties of the job
  • To be the initial point of contact for the Team for all phone-calls, thereby ensuring that complex messages from service users, outside agencies and other Trust staff are dealt with in an appropriate manner and passed onto the relevant team member(s).
  • To maintain databases with information for Trust reporting in order to monitor contacts and waiting times required for statistical information and data confidentially.
  • Undertake general office duties including, faxing, photocopying and scanning. Monitor and order stationary, minute team meetings and maintain a central resource folder.
  • Manage the organisation of monthly Team meetings, arrange team supervision and in liaison with the Team Leader invite guests to present to the team
  • Take part in regular performance development reviews with the Team Leader, undertaking training as identified through this process. Participate in peer supervision alternating with Management supervision.
  • Due to the nature of the post holder's duties, they will become aware of confidential information relating to patients and or staff. Any breach of such confidentiality will be viewed seriously and may be dealt with under the disciplinary procedure as is Trust policy.
  • These key results outline the current principal duties of the post. The postholder is required to adopt a flexible approach and the duties may change in order to meet the needs of the service. Any changes will be made in consultation with the postholder.

    Detailed job description and main responsibilities

Ensure that a member of the team can be contacted at all times, allowing urgent matters to be dealt with by the appropriate team member.
  • To monitor staff absence/sickness within the team, enabling accurate reporting to the Team Leader. To maintain databases with information for Trust reporting in order to monitor contacts and waiting times required for statistical information and data confidentially.
  • Maintain team training records and course information, ensuring the Team Leader is made aware of essential and mandatory training recruitments. Providing team with relevant details of training opportunities.
  • Ensure staff files are kept up to date, and confidential information is securely stored as per Trust policy.
  • Undertake general office duties including, faxing, photocopying and scanning. Monitor and order stationary, minute team meetings and maintain a central resource folder.
  • Manage the organisation of monthly Team meetings, arrange team supervision and in liaison with the Team Leader invite guests to present to the team

    Qualifications
    Essential criteria
    • NVQ 3 or equivalent
    • RSA 3 or equivalent experience and evidence of further practical experience or equivalent
    • Good standard of secondary education; Grade C or above or equivalent

    Knowledge/Experience
    Essential criteria
    • Proven experience of a range of secretarial procedures
    • Experience of producing documents to a high standard of presentation with good accuracy
    • Experience of maintaining office systems
    • Experience of working as part of a team
