Job overview

The Medical Education Department is responsible for the provision and quality control of undergraduate and postgraduate medical education to meet national requirements for training, with the wider purpose of improving standards of patient care.

Led by the Director of Medical Education (DME), Deputy Director of Medical Education (DDME), Medical Education Manager (MEM) and the Deputy Medical Education Manager (dMEM), the Department works towards improving and assuring the quality of postgraduate medical teaching and learning that is provided within the Trust and aims to improve the recognition of the Trust as a Centre of Excellence for lifelong learning, fostering a culture of enthusiasm for excellent teaching and learning among all grades of medical staff.

Main duties of the job

The post holder will fulfil a key administration role to ensure the delivery of an effective medical education service to the highest quality and standards in line with the requirements of the Trust, GMC and Health Education England. Directly providing comprehensive day-to-day support to the DME, MEM, dMEM, Locality Tutor, Training Programme Directors in the delivery of education to specific groups of doctors to ensure the competencies are delivered appropriately.

A key point of contact for trainees and supervisors, the post holder will deal with a wide range of queries, both in person and via email. In addition will be a contact for our Acute trust partners and will deal with all types of communication from NHS and non-NHS organisations, which need responding to in a timely and efficient manner. The role holder will prioritise the work of the team according to the demands of the service, ensuring that doctors' training is undertaken and effectively monitored.

The post is based at Sussex Education Centre, located at Millview Hospital in Hove, with some travel to other sites on an ad hoc basis required.

Detailed job description and main responsibilities
  • To provide a client and resolution focused point of contact for Junior Doctors in person or via telephone and email.
  • Process study leave applications from Consultants, SAS doctors and training grade doctors in line with Trust policy, keeping accurate records of approvals and updating spreadsheets to ensure requests are within budget.
  • Process annual leave requests for training grade doctors and submit junior doctor absence summaries to Acute Trust partners on a monthly basis.
  • To be able to travel across site when required to do so.
  • To support in ensuring any information relating to the trainee placements are circulated promptly and kept up-to-date with changes.
  • To work as an integral member of the Medical Education Team, providing cover for colleagues as and when necessary - this may include cross-site travel.
  • To maintain an effective electronic and manual filing and information retrieval system for the MEM, making sure that all folders with confidential data (electronic or manual) are password protected or locked away for confidentiality.
  • To maintain databases pertinent to the work of the MEM and ensure that these are updated on a regular basis.
  • To process invoices, and ensure MEM has records of local commitment in relation to PGME expenditure. Ensuring local records are kept for all transactions for audit purpose in accordance with the Trust's standing financial instructions.
  • To deal with all matters with discretion and complete confidentiality.
  • To undertake any duties, commensurate with the responsibility of this grade, that may be required to ensure the smooth and efficient running of the Medical Education Department.

Education and qualifications
Essential criteria
  • Two years minimum recent and relevant administrative experience.
  • GCSE English and Maths grade C or above (grade 4-9)

Experience
Essential criteria
  • Substantial experience in secretarial and administrative procedures.
  • Experience of minute taking, producing reports and complex documents.
  • Sound practical knowledge of and experience in electronic communications
  • Excellent communication skills: ability to communicate with staff at all levels and deal with sensitive information appropriately.

Desirable criteria
  • Knowledge of and/or experience of working in the NHS.
  • Previous experience of working within a Postgraduate environment
