Main duties of the job

The Team Support Administrator will be responsible to provide comprehensive and efficient administrative support to assist the Innovations Team and the Hampshire CAMHS PA team.

Having daily liaison with a wide range of staff at all levels,regular contact with teams, and prioritising competing needs.

Ability to use good judgement skills when dealing with service users/carers enquiries and problems.

This is an exciting, challenging, very busy and vital Child and Adolescent Mental Health Service, offering mental health services to young people up to the age of 18. Our teams are based in various localities within Hampshire.

This is a great Service to work in, no two days will be the same, our teams are hard-working, inclusive and supportive.

We offer development opportunities for our admin professionals through training and secondments and we hold annual admin professionals' conferences.

Our focus is on staff wellbeing, we have regular 1-1 meetings where we can discuss things confidentially and we encourage peer support and training.

We have our own admin microsite on the staff intranet and we send out quarterly admin newsletters. We keep in touch, even in these Covid-19 times whilst working remotely, to enable us to stay connected.

Detailed job description and main responsibilities
This role is to assist the work of the Innovations Team and the Hampshire CAMHS Personal Assistants as required.

This will be a varied role and duties will include handling correspondence, managing emails, telephone enquiries, managing diaries, taking minutes of meetings, assisting with printing, scanning and post, producing documents to a high standard of presentation and accuracy, and to support events when required.

To liaise with other departments and services and to respond effectively to enquiries from the general public, service users and teams.

To accurately record messages and information from any callers in a timely manner.

Follow appropriate procedures, maintain effective channels of communication and maintain confidentiality at all times.

Ability to travel across sites when required.

Person specification

Qualifications, Knowledge and Experience
Essential criteria
  • NVQ 3 in Business & Administration or evidence of equivalent practical experience
  • RSA 3 or equivalent experience and evidence of further practical experience
  • Good standard of secondary education; GCSE at Grade C or above, or equivalent
  • Proven experience of a range of administrative procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Ability to be able to plan workload, manage diaries, organise appointments, planning workload associated with key meeting dates
  • Experience of working as part of a team
  • Planning, organising and facilitating meetings and minute taking
  • Ability to communicate effectively, including grammar and punctuation, and to promote a positive impression of the service
  • Ability to work to tight deadlines and deal with conflicting demands
  • Awareness of the importance of confidentiality - ability to work within appropriate boundaries
  • Ability to use good judgement skills and initiative when dealing with service users/carers enquiries and problems
  • Knowledge and experience of using Microsoft Word, Excel, Outlook, PowerPoint and experience of using databases
