Job overview

We are looking for a dynamic, enthusiastic Project Manager to provide a skilled and dedicated resource for the Planning and Business Development Office and to help us push forward our strategic projects.

You will be highly organised with exceptional planning and communication skills, both verbal and written. You will also have a high level of numeracy and computer literacy, an understanding of project management processes and documentation and a willingness and ability to learn new skills quickly.

Main duties of the job

The post holder will:
  • be responsible for the definition, initiation and delivery of projects including managing the resources for them.
  • be required to maintain constructive relationships with a broad range of internal and external, clinical and non-clinical stakeholders to ensure that their needs are met.
  • Participate in relevant internal and external working groups/projects, services and initiatives to provide, information and analytical advice and expertise
  • Present information and issues, explaining highly complex issues, to a wide range of internal and external stakeholders.
  • Maintain appropriate project documentation including, highlight reports, exception reports, risk logs, issues logs, Project Initiation Documents, Project Plans, etc.
  • Report to Project Leads and the Project / Programme Boards with progress of the projects escalating issues as necessary.
  • Manage the project workload of all assigned project resources, securing their time from colleagues and peers across IT and the rest of the Trust

Detailed job description and main responsibilities
The post holder will:
  • Support the Planning and Business Development Office to ensure the successful implementation of strategic transformation of services across Sussex, and other regions where SPFT may provide services in the future.
  • Be personally responsible for the delivery of one or more projects within the Planning and Business Development Office to time, budget and the required quality.
  • Apply project management, quality improvement and best practice tools and techniques in a consistent manner across the projects.
  • Support, facilitate and monitor progress of projects.
  • Support performance improvement across projects, analysing performance against plan and resolve failures to meet project standards.
  • Identify project risks and escalate as and when appropriate ensuring proactive and timely resolution.
  • Provide coordination of and participate in relevant internal and external working/steering groups and provide project advice, expertise and support where required.

Qualifications
Essential criteria
  • Educated to degree level in relevant subject or equivalent level qualification or significant experience of working at a similar level in specialist area
  • Qualification or equivalent experience in Project Management methodology such as PRINCE2 (Practitioner level)
  • Formal qualification and/or substantial working knowledge of MS Project or similar planning tool.

Desirable criteria
  • Post-graduate degree in Management Studies

Experience
Essential criteria
  • Demonstrated experience of managing projects in complex and challenging environments, including all stages: Initiation, startup, planning, execution, benefits realisation and closure.
  • Experience of setting up a project including the definition of Controls to be used and the team required to execute it.
  • Experience of managing and reporting project progress, risks and issues through appropriate logs and Highlight/Exception reports.
  • Experience of managing Project Board meetings include the setting of agenda, drafting all associated papers and correspondence and presenting to senior stakeholders.
  • Experience of monitoring budgets and business planning processes reporting status and issues to the Project Board
  • Demonstrated experience in a Healthcare environment
  • Comprehensive knowledge of project principles, techniques and tools, such as PRINCE2 and Microsoft Project
  • Experience of applying quality improvement and project management skills across multi-provider pathway
  • Experience of managing a team without direct line management
  • Experience of creating and giving presentations to a varied group of internal and external stakeholders
  • Experience of managing stakeholder relationships
  • Experience of setting up and implementing internal processes and procedures
  • Knowledge of Financial Systems e.g. monitoring budget management, processing invoices and procurement
  • Experience of using project planning tools such as Microsoft Project
  • Experience of leading and developing teams of IT professionals.

  • Demonstrated capability to act upon incomplete information, using experience to make inferences and decision making
  • Numerate and able to understand complex financial issues combined with deep analytical skills
  • Demonstrated capability to plan over short, medium and long-term timeframes and adjust plans and resource requirements accordingly
  • Ability to develop Project Initiation Documents following Business Case approval and building on the details in the Business Case.
  • Ability to plan in detail projects within their remit, identifying activities required, timescales and resources.
  • Ability to keep plans up to date using them to assess critical paths, likelihood of meeting milestones and issues with resource utilisation
  • Skills in planning techniques including Gantt Charts, Pert analysis, Project Breakdown Structures and Resource Estimation.
  • Able to work on own initiative, organising and prioritising own and others workloads to changing and often tight deadlines.
