Job overview

The payroll team are responsible for the administration of over 6000 monthly paid staff and 1000 weekly paid bank workers, using the NHS HR/Payroll system, ESR (Electronic Staff Record).

An opportunity for a highly motivated individual to join the Trust's expenses and payroll section has arisen. We are looking for an organised and efficient person, who is able to work to strict deadlines.

You should be enthusiastic, conscientious, hardworking, and eager to develop and progress. Experience of computerised expenses systems and payroll systems is desirable.

You will be able to organise and prioritise your own workload, ensuring that all your work is completed within the agreed deadlines. You should have excellent communication skills and be able to deal with difficult calls if necessary.

Main duties of the job

Assist in ensuring the processing of all Travel and Expense claims in a timely and effective manner, ensuring that deadlines are achieved

Investigate queries, providing assistance and advice to staff and managers as required.

Undertake any other duties commensurate with the grade and nature of the post, as directed by the Senior Payroll Team Leaders

Working for our organisation

The team consists of 15 people and is made up of a payroll section, a pensions section and an expenses section.

Detailed job description and main responsibilities
The postholder(s) will work with the Payroll Officer (Expenses and Payroll), ensuring that expenses are processed accurately and efficiently, in accordance with the published deadlines, statutory regulations, and that all relevant policies and procedures are followed.

Process appropriately authorised routine paper Travel and Expense claim forms in accordance with the published deadlines, statutory regulations, and that all relevant policies and procedures are followed.

Use of data analysis when appropriate, to determine judgements around straightforward payroll procedures.

Able to undertake data entry tasks under the supervision of the Payroll Officer and able to suggest improvements/amendments from to existing reports and procedures.

Maintain sound working relationships with Workstructures, Finance, and HR, to support closer and more co-operative working.

Liaise with the e-Travel and Expenses software provider to investigate system issues/queries and problem solving using detailed financial calculations where necessary.

Assist in maintaining a help-desk facility for staff/workers/managers to provide advice and guidance on all aspects of the e-Travel and Expenses system orally, in writing or electronically.

To investigate routine enquiries and respond to staff/workers, managers and external agencies (such as DWP, software providers, etc.) as necessary.

Plan and carry out general office and administrative support tasks (e.g. stationery ordering, post-opening, filing, etc.)

Work with the Payroll Assistant to manage the generic email boxes, responding, printing and/or forwarding to Payroll/Pensions colleagues as appropriate.

Raise manual payments as directed by Senior Payroll Team Leaders.

Help provide cover for the Payroll Assistant's absence, including monitoring generic email boxes, answering telephone queries, etc.

Undertake any other duties commensurate with the grade and nature of the post as directed by the Senior Payroll Team Leaders.

Qualifications
Essential criteria
  • GCSE Mathematics (Grade A-C) or equivalent
  • NVQ Level 2 or equivalent experience
  • ECDL Advance Level or equivalent experience

Knowledge/Experience
Essential criteria
  • Experience in an office environment
  • Knowledge of finance systems and routine procedures
  • Experience of computerised data entry
