Job overview

An opportunity has arisen in the Community Learning Disability Team, part of the Specialist Community Disability Team, based at Wellington House, Brighton. We are looking to recruit a highly motivated and enthusiastic individual to join our team.

The post is to provide administrative support to the multi-disciplinary team and service. The post holder will be highly organised and will need to provide an accurate and timely administrative support to the Learning disability service.

The successful applicant will be required to demonstrate a high level of expertise in typing and keyboard skills which would include knowledge and understanding of Microsoft packages, have an excellent telephone/ communication manner and an understanding of confidentiality. They must be able to work well independently, manage changing demands and priorities, and also be able to work effectively as part of a team.

They will also need to be an effective communicator when dealing with service users, carers and health and social care professionals. We are looking for a person who has initiative and strong values, as well as being people focused.

Main duties of the job

Main Duties:

The Team Secretary will provide a full secretarial and administrative service, having daily liaison with a wide range of staff at all levels and regular contact with people who use our services and their carers who at times, may at times be distressed or angry. The Team Secretary will be responsible for ensuring the effectiveness of the office environment for the team and will:
  • Ensure that all documents and correspondence are saved/uploaded to CareNotes correctly.
  • To produce letters and reports to a high standard from hand written notes/email. Some of which may contain very distressing content.
  • To be responsible for initiating and sending out, routine correspondence and a variety of self help information such as a welcome pack
  • To be responsible for arranging Complex Behaviour Clinics/other meetings, attending to take notes/actions, and returning these is a timely way.
  • To act as contact point for members of the team during office hours, responding appropriately in emergency situations by obtaining relevant information and liaising with organisations and persons involved.
  • To support clinical with visitors accessing the office safely following protocols
  • To undertake project work as and when needed
  • To review and input data on CareNotes to ensure its integrity for auditing purposes
  • To cover telephone rota and other secretarial/admin staff
  • To provide cover for other secretarial and administrative staff

Detailed job description and main responsibilities
REQUIREMENTS:

In order to be a successful Band 3 Team Secretary in our team you will have:
  • Experience in an admin/ secretarial role
  • Excellent computer skills, particularly with Microsoft Office
  • A passion for improving the lives of children and young people suffering from mental health difficulties

It would also be advantageous if you:
  • Are experienced working in and admin role in a health or social care setting
  • Have previous medical secretarial experience or experience using medical terminology

Qualifications

  • NVQ 3 or equivalent
  • RSA 3 or equivalent experience and evidence of further practical experience or equivalent
  • Good standard of secondary education; GCSE at Grade C or above or equivalent

Knowledge/Experience

  • Proven experience of a range of secretarial procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience of maintaining office systems
  • Experience of working as part of a team
