Job overview

We are looking for an enthusiastic and dynamic person with excellent communication and organisation skills to provide administration support to the High Weald Lewes and Havens Assessment Team.

In this role you will be undertaking reception duties and provide general administration support including photocopying, post duties and keeping patients records up to date.

The ability to work as part of a team is essential and you will need experience of working in an office environment and providing reception support. Communication skills will also prove vital to the role as you will have contact with patients and staff.

A good working knowledge of Microsoft Office applications is essential and previous experience working in a healthcare setting and using patient systems would be advantageous.

Please note we will require this person to work Monday - Wednesday

Main duties of the job
  • Welcoming visitors and providing assistance, including arrangements for access requirements, ensuring that the appropriate staff member is informed of their arrival.
  • First point of contact for calls to the service, transferring calls to the appropriate staff member, answering queries where appropriate or seeking help when necessary.
  • To produce from audio and typed notes, word processed letters to a high standard of presentation and accuracy using appropriate Trust templates, in line with Trust guidelines.
  • Provide general administration support including, photocopying and scanning documents, uploading information onto the patient information system, post duties and sending documents to Pharmacies and GP surgeries

The High Weald Lewes and Havens Assessment and Treatment Service includes Psychiatrists, Nurses, Occupational Therapists, Psychologists, Support Workers and General Mental Health Practitioners. The post is based at our Millwood, Uckfield site working within the Administration Team which comprises of 11 staff.

Essential criteria
  • NVQ 3 or equivalent
  • RSA 3 or equivalent experience and evidence of further practical experience or equivalen
  • Good standard of secondary education; GCSE at Grade C or above or equivalent

Experience/Knowledge

  • Proven experience of a range of secretarial procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
