Job Details

Brighton College Prep School is seeking to appoint an Office Manager, to start as soon as possible. The role is term-time, plus 3-5 additional weeks. 

This is an exciting opportunity to join the School as an Office Manager. This role will manage and have oversight of the administration teams at both school sites, providing strong leadership of all office-based systems, processes and projects. This responsible and confidential position will also provide administrative and secretarial support for the Headmaster and Senior Deputy Head.

The role of Office Manager:

  • PA and secretarial support for the Headmaster and the Senior Deputy Head.
  • Administration support for the Deputy Heads at the Prep site.
  • Cover manager duties for the Prep site.
  • Management oversight of office function at both the Nursery and Pre-Prep and Prep sites.
  • Performance management and appraisal of the office team members.
  • Diary organisation for the Headmaster and Senior Deputy Head.
  • Clerking duties for the Prep School Committee.
  • Annual Policy review administration alongside ad-hoc updating as required.
  • Leading on inspection-related administration.
  • Preparing a range of correspondence to the highest standard
  • Undertaking open-ended research projects as defined by the Headmaster.
  • Meeting and looking after parents and other visitors, including booking rooms and refreshments.
  • Taking minutes and following up on action points from Senior Management Team (SMT) meetings.
  • Arranging staff interviews and Governor visits.
  • Liaising with support departments at the College; Catering, Porterage, Maintenance, Grounds, HR, Admissions.
  • Building and maintaining key working relationships across both sites and with the College.
  • Maintaining and managing budget records.
  • Minute taking for a wide variety of meetings, some of which may start after the working day (time in lieu will be given).
  • Making travel arrangements.
  • Oversight of site issues.
  • Covering for members of the office team, as required.
  • Assisting with co-ordination of Headmaster presentation assemblies.
  • Ordering stationery.
  • Assisting with the Census.
  • Any other reasonable management request.

Safeguarding responsibilities:

  • This role will involve daily contact with pupils, and you will be engaging in regulated activity relevant to children.
  • All staff and volunteers have a responsibility for promoting and safeguarding the welfare of children and young persons for whom you are responsible and with whom you come into contact.

Hours of work:

  • 8.00am-5.30pm Monday to Friday (with a one-hour unpaid lunch break each day).
  • Term-time (35 weeks) plus between 3-5 weeks (number of weeks to be agreed during interview) in the school holidays and at any other time (including during school holidays, at weekends and before and after the College's normal starting and finishing times) as may be necessary in the reasonable opinion of the Headmaster for the proper performance of your duties.

Holidays:

  • 20 days, in addition to bank holidays.
  • Your paid holiday entitlement is included in the salary.
  • Annual leave should be taken during the school holidays. 

Salary:

£26,000- £30,000 per annum pro rata, depending on experience and number of weeks worked in addition to term-time.

Other recent additions include two new boarding houses, a state-of-the-art Music School and the Yeoh Building, a teaching building which includes 22 classrooms for maths, history, economics, politics and EAL, alongside an innovative Creative Learning Centre, opened in 2017.
