Job summary We are looking to recruit a fulltime Personal Assistant. The Personal Assistant (PA) will, be working without immediate reference point and on own initiative seeking appropriate advice and guidance when necessary. The post holder will provide a full secretarial and administrative service, to support the Clinical Director for North West and Coastal West Sussex and the Deputy Director Coastal West Sussex. To protect the health and safety of our staff/workers, patients, and those attending our sites, we encourage our workforce to get fully vaccinated against COVID.

Main duties of the job A significant part of your role will be to provide administrative support to the coordination, reporting and documenting of regular senior meetings, working closely with panel members and chairs, ensuring agendas and meeting minutes are distributed in a timely manner with agreed action points noted. You will be responsible for coordinating the out of hours management rota for CWS and to ensure staff rotas are accurate by recording all leave for relevant managers and teams. To be responsible for the development and management of effective office systems, including appointment booking, multiple diary management and robust filing systems. To provide excellent administrative and secretarial support, using appropriate software packages, working to strict timescales and to a very high standard of accuracy, following correct Trust presentation standards. Documents include meeting minutes and agendas, clinical reports and clinical and managerial correspondence. To undertake ad hoc project work or research, which may include the construction and management of complex spreadsheets and data collection in accordance with the needs of the service, utilising a range of software packages. This will also involve dealing with sensitive patient and staff details. To plan team events, booking venues as appropriate, arranging catering, equipment requirements and producing detailed delegate packs. To prepare Power Point Presentations.
