Main duties of the job
To be responsible for the recruitment and retention process of administrative and secretarial staff.
To ensure provision of full secretarial services to all teams, moving resources as necessary.
Oversight of the development and administration of Human Resource processes within CHYPS - monitoring of annual leave, sickness, study leave and staff contracts.
This is a non-clinical role; however, the post holder will be expected to support and influence both clinical and non-clinical policy and procedures as appropriate.
Identify and manage within the Care Group systems to improve data quality and to capture the required information to meet identified targets.
To ensure accurate collation of diversity data. To monitor and analyse statistics in relation to the diversity of service users to ensure equal access. Providing qualitative data to inform service delivery and direction.
To coordinate the collation and monitoring of key quality and improvement processes for CHYPS e.g. service delivery/improvement plan, staff survey, risk register.
Lead and manage admin staff and systems to deliver information requirements

Detailed job description and main responsibilities
To support the Local Leadership Team (LLT) to deliver high quality services.
In liaison with the General Manager and Service Managers to take a role in the Business Planning arena by setting up systems to accurately manage and monitor the care group clinical standards and key performance indicators.
To support the Service in the development and implementation of Key Care Group supporting strategies, including the delivery of effective clinical and management information systems, Controls Assurance, Risk and Performance Management.
To contribute to the operational management of CHYPS through membership and participation in the Local Leadership Team. This will include being responsible for agreed areas of management work with the support of the General Manager and Service Managers.
To contribute to the strategic and service development of CHYPS through membership participation in specified groups.
To manage the operational delivery, service planning, appraisal, and performance management of all CHYPS Administrative and Secretarial staff.
The post holder will contribute to the wider workload of the CHYPS by participating in designated projects when required. The post holder will support and develop staff within their service area to enhance recruitment and retention and encourage career progression.
The post holder will establish positive relationships with external agencies and use those resources effectively for improving local services.

QUALIFICATIONS
Essential criteria
- Educated to A Level or NVQ 4 Standard of equivalent experience
EXPERIENCE
Essential criteria
- NHS Experience in Children's Services
- Experience of supervision of administration staff
- A working knowledge of trust HR Policies and Procedures
Desirable criteria
- Understanding of information systems used by the Trust
SKILLS
Essential criteria
- Excellent communication skills with emphasis of interpersonal and influencing skills
- Ability to effectively provide and receive complex information which may require analysis and interpretation and develop solutions if necessary
- Mobility to travel across sites
