This role takes an office first hybrid approach here at London Gatwick, with three days a week in the office, two days remote, managed around the needs of the business.
What is the role?
Reporting into the Document Control Manager, you will be part of a team that is integral to the wider Construction Department, providing a full range of document management services to our Project Delivery teams, external design consultants and contractors, as well as supporting the Document Control Manager in maintaining and improving document control processes, procedures, and systems.
What will you do?
- Acting as a custodian for all internal and external project documentation held within the Electronic Document Management System (EDMS), managing the flow of documentation, storage and archiving according to company procedures, including undertaking the necessary quality checks as per London Gatwick's standards.
- Metadata management for all documents stored within the EDMS.
- Implementing and maintaining the project document review process to support project teams to enable effective and timely control of document reviews and responses.
- Assist in the production of accurate and timely reports, which provide up to date information for all key decision makers and stakeholders.
- Assist the project teams throughout the project stages to help ensure that projects are closed out effectively and handed over successfully from transition to business-as usual.
- Assist the Document Control Manager in the update and maintenance of all Document Control training and guidance material, as well as EDMS Administration tasks.
- Provide timely and effective support to project teams, external designers and contractors on the use of the EDMS and Portal to ensure that document management does not impede overall project delivery.
- Assist the Document Control Manager in the identification and implementation of opportunities to improve both the EDMS procedures and the system itself to reduce the time and cost of using the system whilst maintaining quality.
- Take necessary and proper care to protect the confidentiality, integrity and availability of information from unauthorised disclosure, modification or destruction.
- Provide training for project members (including designers and contractors) in the use of the London Gatwick electronic document management system.
Do you have what we're looking for?
This role requires you to have a high level of communication skills, both verbal and written. As part of the Project Management Office team, you will be required to interact with various team members across the department to assist them in deliverable management processes and support them in their use of our EDMS. You will need to be confident in articulating processes and working through any problems in a proactive and positive manner.
