Role overview

As the first point of contact for Creative Technology, the Receptionist will be responsible for providing a friendly and welcoming service to all Creative Technology visitors and staff. The role is varied and will involve answering telephones, greeting visitors, booking meeting rooms, arranging catering and managing multiple admin duties. A helpful and positive attitude is paramount to the role of the Receptionist as is excellent organisational and timekeeping skills.

Responsibilities

  1. To undertake front of house duties, including meeting, greeting and attending to the business needs of visitors and staff, ensuring a superior customer service experience is provided at all times
  2. Answering phones and dealing with initial enquiries in a friendly and professional manner, escalating where necessary to the correct member of staff
  3. Manage the upkeep of the vending machine, stationery and all toiletries within the building whilst ensuring related spreadsheets are kept up to date
  4. Book and manage meeting rooms using relevant diaries and organising the hospitality requirements for meetings and presentations upon request
  5. Check that all absences are recorded within the e-days absence management system, liaising with staff and managers for any missing information where applicable
  6. Monitoring the Facilities mailbox and replying to all low-level queries in a timely manner.  First line response for general facilities enquiries, ensuring associated Smartsheet is maintained and kept up to date
  7. Administration of central visitor system
  8. Assist Purchasing Manager with the purchase of lower level and repetitive items
  9. Ensure the reception area is well presented at all times
  10. Sign for and deliver all post to the appropriate member of staff in a timely manner
  11. Ensuring all security procedures are followed by visitors and staff; maintain logbook, issue visitor access passes, etc
  12. Undertaking general office duties, including correspondence and filing to ensure the reception operates efficiently at all times
  13. To undertake and attend, all training as required; such as First Aid, Health and Safety, DSE, etc.
  14. To adhere to all fire safety test procedures and to assist in the evacuation process in the event of fire
  15. Proactively contribute to the continued growth and improvement of the day to day running of the reception

Skills / Qualifications

  • Experience in a similar role would be beneficial
  • High standards of presentation and service provision
  • Excellent people skills and ability to interact with a wide range of clients and staff demands
  • Excellent organisational and communication skill (both written and oral)
  • Ability to plan and prioritise workloads
  • Ability to multi-task and work under pressure
  • Proven track record in customer service
  • Meticulous attention to detail
  • Pro-active and self-motivated; able to use initiative and escalate issues when appropriate
  • General computer literacy; good working knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook)

Hours: 8:30am – 6:00pm Monday through Friday

Salary: £17,700 - £18,900 depending on experience
