3. What Is Personal Data?

5. What Data Do We Collect?

  • Jobseekers: Name, email, uploaded CV, candidate profile (statement, current/desired job title, sector, experience, location, availability, salary/hours preferences, UK work eligibility), application history.
  • Employers/Recruiters: Name, organisation, role title, address, email, phone, company profile, job adverts placed, candidate interactions.
  • Others: Contact info for Partners, suppliers, event participants.

6. How Is Your Data Collected?

  • When you register, fill in forms or correspond with us
  • When you apply for vacancies or upload your CV
  • When you participate in events, surveys, or use platform features
  • From public sources: LinkedIn, business websites, referrals, events

7. How & Why Do We Use Your Data?

Jobseekers: To match skills and experience with job opportunities, process applications, forward CVs to employers (with your consent), let relevant recruiters/employers search and view profiles when permitted.

Employers/Recruiters: To create and manage accounts, process your job adverts, enable access to candidate CV database, support communication, provide product/service info (opt-out available for marketing).

We may also use your data:

  • To provide/update services and contract performance
  • To notify you about platform changes
  • For customer polls, surveys or analysis
  • To monitor ad effectiveness
  • For legal compliance (tax, accounting, fraud prevention)

8. How Do We Store Your Data?

Information is stored on secure UK-based servers. Payment data is encrypted using SSL technology. Platform account passwords are your responsibility to keep confidential.

Despite robust security, internet transmission is never 100% secure; transmission is at your own risk but we use strict procedures and security features to minimise risk.

9. International Transfers

We store your personal data within the UK wherever possible. Where necessary to transfer outside the UK (for example, to technology providers or service partners), we ensure one of the following:

Jobseekers:

  • Applications are deleted after 180 days
  • Accounts remain active until deleted by you
  • Inactivity >365 days triggers deletion notice and automatic deletion after 28 additional days

Employers/Recruiters: Information is retained for as long as your account exists and as required to perform platform services and contract support. After closure, it may be retained briefly for regulatory and dispute purposes.

Employer and Recruiter Responsibilities:

If you receive jobseeker personal data via our platform, you must delete it when no longer required for the recruitment purpose, and in any case within 30 days of the vacancy being filled or the candidate being rejected unless you have another lawful basis under UK data protection law to retain it.

When deciding on our own retention, we consider:

  • Contractual obligations and rights
  • UK legal obligations
  • Legitimate interests (where applicable)
  • Statute of limitations
  • Disputes or data subject requests
  • Official guidance

Once no longer required, data is securely deleted.

12. Who Do We Share Your Data With?

Jobseekers:

  • Employers/recruiters, strictly for job application purposes and where a candidate allows profile viewing or forwarding via account settings
  • Third-party job board aggregators: Vacancy details may be sent to selected aggregator partners, but your personal data will only be shared with explicit consent. Where aggregators are outside the UK, we ensure compliance safeguards as required by UK GDPR.
  • Service providers (IT, security, communications, account management): Under contract, required to comply with data privacy law
  • Partners: We may forward partner information/offers to you, but do not send your personal data to partners unless specifically opted-in

Employers/Recruiters:

  • Data may be shared within LoveLocalJobs.com Limited programmes/events (co-branding) strictly for stated purposes
  • Jobseeker personal data may only be shared with your organisation per this policy and contract obligations
  • Supplier, Employee, Partner data:
  • Data is managed and shared strictly as set out in supplier agreements or employee privacy notices

13. Employers/Recruiters – Specific Data Protection Obligations

When using jobseeker data from our platform, you become a data controller for that activity. You must:

  • Only use personal data for filling genuine vacancies
  • Keep data safe and confidential
  • Delete personal data as soon as it is no longer required, and within 30 days of the vacancy closing or candidate rejection unless another valid retention basis exists
  • Respond to any data subject rights requests promptly

14. Legal Basis for Processing

  • Legitimate Interests: Providing recruitment services, matching jobseekers and vacancies, supporting contract fulfilment.
  • Contract: Where processing is necessary to deliver agreed services.
  • Consent: Where you opt-in for marketing or allow profile viewing/search.

15. Your Data Rights

You have the right to:

  • Be informed about processing
  • Request access to your personal data
  • Correct inaccurate/incomplete data
  • Request erasure (“right to be forgotten”) subject to exceptions

We will respond to rights requests within 30 days. We normally act free of charge, but repeated/excessive requests may incur a fee.
