Parts Sales Administrator

  • Contract Duration: 12 months to cover maternity leave
  • Hours per Week: 40 hours (Monday to Friday)
  • Location: Full-time on-site in East Grinstead, West Sussex
  • Travel: Twice per year to other sites for audits and familiarisation visits

An exciting opportunity has arisen for a dedicated Sales Administrator to join a growing and dynamic team. This role involves handling both internal and external customer enquiries and orders, from the initial enquiry through to delivery, including processing parts quotations and orders, and resolving any issues that arise.

Day-to-day duties of the role:

  • Process workshop tickets, order required parts, and adjust stock requirements to fulfill workshop needs.
  • Accurately interpret customer enquiries both technically and commercially, liaising with the factory for answers as necessary.
  • Check customers' orders and process them through to the delivery stage, including authorising and checking colleagues' orders as per internal workflows.
  • Ensure timely and accurate parts order processing, placing orders on internal and external suppliers, and liaising effectively with all parties.
  • Handle customer returns and raise credit notes as required.
  • Maintain first-class customer liaison, fulfilling all reasonable customer requests.
  • Produce sales invoices promptly and clear purchase invoices timely.
  • Assist with warehouse duties such as receipting, and the picking and packing of goods during periods of overload and holiday.
  • Participate in periodic stock counts and maintain excellent liaison with all internal and parent company departments.
  • Assist with material requirement planning (MRP) to ensure suitable stock levels are maintained.
  • Support the Parts Supervisor with forecasting and reporting as required.
  • Carry out additional departmental tasks as needed, especially during periods of holiday, sickness, or abnormal workflow.
  • Support VCA and Customer contracts.

Required Skills & Qualifications:

  • Strong attention to detail and ability to manage a wide range of tasks.
  • Enthusiastic personality with strong interpersonal skills.
  • Proactive in problem-solving with effective time management skills.
  • Commercial awareness.
  • Proficiency in Microsoft Office; on-the-job training will be provided for SAP B1.
  • Competency in writing business letters and emails.
